Heimstaden Leverages AI to Transform Residential Property Management

Heimstaden, a European residential real estate operator, is embracing artificial intelligence (AI) to transform property management. The company aims to enhance operational efficiency and empower employees by integrating AI into its processes.

In June 2025, Heimstaden’s leadership decided to accelerate its AI initiatives after evaluating various platforms, ultimately selecting OpenAI. The objective is to create increasingly self-operating buildings where AI can anticipate needs, coordinate tasks, and support decision-making throughout the property lifecycle. Helge Krogsbøl, Co-CEO at Heimstaden, stated, “The purpose of our buildings hasn’t changed. We provide homes for people. But the way we operate them continues to change as we challenge conventions and adopt new technology.”

The company is reimagining the process of letting homes. Traditionally, when a property becomes vacant, it involves assessing rental value, arranging photography, producing advertisements, and responding to market demand. AI is now assisting in these key steps, including:

  • Pricing: Utilizing intelligence and recommendations from tools built in ChatGPT.
  • Advertising: Generating image styling and apartment descriptions through AI.
  • Review Listings: Agents review all live ads against Heimstaden’s quality standards.
  • Feedback: AI-generated market feedback aids letting teams in making dynamic pricing adjustments.

Although employees remain responsible for decision approval, the surrounding processes are evolving. In the Netherlands, the cost of producing a virtually staged property image has dropped from approximately €50 to less than €0.10, representing a reduction of over 99%. Heimstaden estimates potential annual savings of €130,000 in that market alone.

Nikolaj Brammer, Heimstaden’s Chief Digital Officer, explained that the AI strategy is based on three pillars: empowering employees through training and access to tools, establishing a central transformation office with a network of AI champions, and strengthening the foundations by preparing property management systems and data models for AI integration.

Heimstaden is also transforming the role of domain experts. Julia Erlandsen, an environmental sustainability analyst, utilized Codex to assess environmental risks across the portfolio. By leveraging Codex, she was able to clean and standardize data, resulting in the assessment of 20,112 assets and generating over six million rows of useful data. This process reduced the estimated delivery requirement from five people working for a year to two people working for two months.

Heimstaden’s AI adoption focuses on assisting employees with their tasks. Following the launch of ChatGPT Enterprise in September 2025, half of the employees began using it within two to three months. A central AI transformation office maintains a library of use cases for employees to learn from.

Adoption extends to real estate caretakers, including those initially skeptical. In Norway, one caretaker used ChatGPT to evaluate a neglected apartment and draft a prioritized refurbishment plan. Andreas Kalmar Lindquist, Manager of the AI First Team at Heimstaden, noted, “People across the business are finding practical ways to use AI in their daily work. Our job is to scale what works while keeping data secure, responsibilities clear and people in control.”

Looking ahead, Heimstaden is preparing for the next phase of AI integration. The company is rolling out its Procurement Intelligence Platform, which combines workflow automation with OpenAI models accessed through APIs. This platform is designed to operate across Outlook, SharePoint, and Teams, supporting contract analysis and negotiation preparation while ensuring employees retain responsibility for commercial decisions.

Heimstaden is also co-developing Amplio Estate, a modern property management system aimed at supporting AI-powered workflows. The goal is to enable employees to utilize AI, such as ChatGPT, to retrieve property information and take action within core business systems, with appropriate human oversight.

Heimstaden’s vision is to create properties supported by intelligent systems that enhance decision-making for employees and improve customer service. While the buildings will remain homes, the methods of operation are evolving significantly.
